Pest control management software

Every station, every day,
provable.

Pest Master Pro runs the whole programme — device monitoring, technicians in the field, entomological reporting, client portals and invoicing. It is built around the one thing an auditor asks for: evidence that each device was checked, and what was found.

No card required  ·  Runs on any PHP host  ·  Your data stays in your database
8Monitored device categories, from bait stations to pheromone traps
12Species tracked per device, each with its own action threshold
0Internet needed in the field — technicians work fully offline
100%Self-hosted. No third-party scripts load at runtime
The problem it solves

Your programme is only as good as the record of it

A missing inspection and a clean inspection look identical on paper. Pest Master Pro makes them different: a checked-and-clear device is a positive record, a gap is flagged, and a threshold breach raises itself before your client's auditor does.

Written in your language

The system speaks in activity codes, not database fields

Technicians record what they actually do, using the codes already on your service reports. Those same codes print on the matrix, the client portal and the monthly report — so nothing needs translating for an audit.

01 · REGISTRY

Device registry & floor plans

A device number is its identity for life — on the plan, the label, the log and the audit. Numbering here mirrors your site, not a database counter.

Numbering that matches the planSet your own prefix and allocate 1-10, 15, 20-25. Gaps and blocks are normal — a real site is never one straight run.
Bulk add, then map locationsAllocate a whole device type at once, then type each one's exact position before labels are printed.
Nothing added silentlyNumbers that clash or exceed the site cap come back listed, with the reason. You see it before you print.
Two-way floor-plan syncDrag devices onto an uploaded plan or PDF; allocate from the plan itself. The registry and the plan cannot drift apart.
QR and Code-128 labelsPrint 16–65 labels per A4. Density is capped by what still scans on a grubby station in a dim plant room.
One label, two audiencesA technician scans it and the inspection form opens. Your client scans the same label and sees that device's published history.
Capture heat overlayPaint a month's captures onto the plan to see hot spots as geography, not rows.
Eight device categoriesBait stations, glue boxes, EFK/ILT, lizard sheets, cage traps, snake traps, cat traps, pheromone traps.
02 · FIELD

Technician field entry

Basements have no signal and rounds are long. Entry is built for a phone in one hand, offline, at speed.

Fully offlineEntries queue on the phone and upload themselves on reconnect. Re-submitting can never duplicate a record.
Bulk roundsPick the device type — never a device number — and key only what you found. The rest are recorded as No findings.
"Not inspected" is honestA device you couldn't reach gets no record at all. A false "clear" is a falsified inspection, so we refuse to write one.
You see it before you commit"1 with findings · 2 as No findings · 1 not inspected" — stated plainly, then confirmed.
Only the right pestsA bait station asks for rats and mice; an ILT asks for flies and mosquitoes. Two columns, not twelve.
Scan to openPoint the camera at a label and the right form opens — no scrolling a list of 60 stations.
Photo evidenceUp to six photos per inspection: gnawed block, damaged box, capture proof.
Scoped by siteA technician login only ever sees the sites it is linked to — and cannot be created without one.
03 · ENTOMOLOGY

Reporting & entomologist logic

Deterministic, not generative. The same history always produces the same words — which is what makes it defensible.

Live device boardEvery station as a tile under its type heading, coloured Clear / Watch / Action / Overdue. The eye lands on trouble first.
Per-device profileSummary, twelve-month chart, month-by-month comparison, species caught, every record and every breach.
Per-pest action thresholdsOne snake is an emergency; twenty flies in an ILT is a normal week. Thresholds are per species and yours to set.
Trend that can't be gamedMeasured on captures per inspection — so inspecting more often never masquerades as an outbreak.
The monthly matrixDevices down, days across, captures and codes in the cell, totals both ways. The report auditors actually read.
Capture forecastingNext month projected from a moving average and a seasonal index. Plain statistics, shown with its basis and confidence.
Threshold alertsA rolling seven-day breach raises a notification once — not the same alarm every day.
Daily, trend & gap reportsBranded PDFs, month-wise folders, one-tap WhatsApp or email sharing.
04 · RISK

Gap analysis & site risk

Every conducive condition photographed, graded and tracked to closure — with a risk level the same findings always produce.

Photographed findingsEach risk carries a photo, zone, category and priority. A finding cannot be closed without a proof photo.
Deterministic risk gradeLow, Medium, High or Critical, from the open high-priority count. No AI — the same findings always grade the same.
Tagged to the siteA finding belongs to one client site, so each client sees only their own risks — never another's.
Office or field captureLog findings against a client from the desk, or let a technician record them on the round — offline, scoped to their sites.
Open and closed at a glanceCounts, closure rate, by-priority and by-zone charts, and the register of every finding with its recommendation.
Recommendation to closureEvery finding carries the corrective action, the responsible party and a target date.
Live in the client portalThe client sees their site's risk grade, open findings with photos and the charts — always current, never a stale snapshot.
Periodic gap reportsBranded, month-wise gap reports published to the client alongside the live view.
05 · CONFORMANCE

Scheduling & non-conformity

Store the rule you contracted for, then reconcile it against what the technicians actually recorded.

Schedules as rulesWeekly, specific weeks ("2nd & 4th, Tuesday"), monthly, or every N days. Change the frequency without rewriting history.
Non-conformity flaggingEvery activity that passed its grace window with no record, listed by date, site and activity.
Delayed ≠ missedLate but inside grace is conforming — but not on time. Both rates are reported, because collapsing them hides drift.
Evidence must matchA bait-station record does not discharge a cage-trap schedule. The right work, or it didn't happen.
Self-correctingNothing is stored — enter a genuine back-dated record and the metric fixes itself.
Missed-visit detectionAny device past its own expected frequency is surfaced on the dashboard.
Automatic monthly reportsFinalise and optionally publish each client's month on a chosen day. Running twice changes nothing.
Your client sees the scheduleThe agreed activities and the adherence, in their own portal.
06 · COMMERCIAL

Quotations, invoicing & receivables

Money is integer paisa end to end. No floats, no rounding drift, no invoice number ever reused.

Branded quotationsService blocks with methodology, pest profile and chemicals. Walk-in customers or registered sites.
Immutable revisionsRevising a quote creates a new revision and supersedes the old one. The history stands.
Gapless invoice numbersAllocated inside a transaction, per organisation, per year. No duplicates, no skips — ever.
Purchase-order drawdownAmount caps or visit caps, consumed atomically, with over-limit invoices refused.
Invoice managerLive balance, full payment history with method and reference, and a running client statement.
Append-only ledgerCorrections are credit notes, never edits. Overpayment is refused rather than hidden.
Multi-tax & SST-03Per-line tax treatment, withholding, and period totals ready for the return.
Agreements & planned visitsContract the work, then measure the programme against it.
07 · PLATFORM

Client portal, security & hosting

Your clients see exactly what you publish — and nothing else, ever.

Publish-to-seeNothing reaches a client until you publish it. Unreviewed data is invisible by construction, not by filter.
Live client portalTheir device board, the live monitoring matrix, gap analysis with a site risk grade, floor plans, documents, published reports and their service schedule — plus one-tap problem reporting.
Leads & sightingsA pest-report form on your own site drops straight into your dashboard as a lead; clients and technicians log sightings that reach you at once.
Strict tenant isolationEvery query is scoped from the session, never a URL parameter. Another company's record returns "not found".
Default-deny routingClient and technician logins run against an allow-list. A route not on it does not exist for them.
Self-hosted, no CDNEvery library ships with the app. Nothing is fetched from a third party at runtime.
Runs anywherePHP 8 and SQLite. Upload to cPanel, open the page — migrations run themselves.
Rate-limited loginsBrute force is throttled before the password is ever checked. Self-serve portal password reset.
Your database, your dataOne SQLite file you can copy, back up and take with you.

Questions

Before you ask

Does it work without internet in the field?

Yes. A technician can complete a whole round with no signal — entries are held on the phone and upload themselves when a connection returns. Re-submitting the same round can never double-count captures. Photos are the one exception: an image needs a connection at the moment it is taken, and the app says so rather than silently dropping it.

What happens to a device the technician couldn't reach?

Nothing is written. Marking blanks as "No findings" is a positive statement that a device was inspected and found clear — so devices you couldn't reach are excluded explicitly and get no record at all. Inventing a clean inspection is the one thing an audit is looking for.

Where does my data live?

In a SQLite database file on your own hosting. There is no external service and no third-party script loads at runtime — every library ships inside the application. You can copy the file, back it up, or move hosts whenever you like.

Is the reporting AI-generated?

No. The entomological assessment, the trend direction and the forecast are all deterministic calculations. The same history always produces the same words and the same numbers, and every figure shows its basis. That reproducibility is exactly what makes it usable in an audit.

Can my client see everything I record?

Only what you publish. Inspections stay staff-only until you release them, and a client login runs against an allow-list of routes scoped to their own sites. A record from another company, or an unpublished record from their own, simply returns "not found".

What do I need to run it?

PHP 8 and any ordinary shared host — cPanel is fine. Upload the files and open the page; the database and every migration set themselves up on first load.
